Nina, senior consulting associate at Ectivi Practice Partners

About

Meet Nina.

Nina has spent more than 40 years in medical practice management — starting in neurology billing in the 1980s, building to a 20-year tenure as practice administrator at a three-doctor, three-location ophthalmology group, and going on to run an independent consulting practice that has served physicians across the Bay Area for the last decade. Her work covers the full operation of a medical office, not just the billing function.

She treats payment posting as diagnostic intelligence. By reading the patterns in posting data, she surfaces coding errors, missing modifiers, and scheduling bottlenecks that most practices never see. That same analytical lens applies across bookkeeping, EMR transitions, HR and payroll, and staff development — making every engagement a practice-wide improvement, not a line-item fix.

  • 40+ years in the field — neurology, ophthalmology, cardiology, internal medicine, functional medicine, and primary care.
  • Revenue integrity focus — billing, coding, and posting managed as a single analytical system.
  • Financial oversight depth — bookkeeping, QuickBooks, embezzlement prevention, and productivity analysis.
  • Staff mentorship — hands-on training and facilitation that leaves staff more capable.

Career

Four decades. Dozens of practices.

Nina's career spans neurology, ophthalmology, cardiology, primary care, and functional medicine — always in the operational seat.

1984 – 1996

Billing & Practice Administration

Started in neurology billing and credentialing at a Bay Area multi-location neurology group, then moved into full practice administration at a Walnut Creek ophthalmology center — managing 3 providers, 17 staff, and a full optical shop. The practice tripled in production over her seven-year tenure.

1996 – 2015

Twenty years as Practice Administrator

Practice Administrator for a three-doctor, three-location ophthalmology group in the East Bay. Managed HR, payroll, scheduling, EMR and PM transitions, surgical consultations, credentialing, marketing, and physician production reporting — implementing four practice management conversions (beta site on two of them) and serving as bank signer on all practice accounts for fifteen years.

2016 – Present

Independent Consulting — Medical Practice Solutions

Founded an independent practice management consultancy serving physicians across the Bay Area. Engagements include practice sale transitions (valuation, EMR handoff, 401K and staff continuity), EMR and PM system installation and merges, HR and payroll administration, A/R reconciliation, and billing process oversight — including a Southern California concierge primary care launch she has supported remotely since 2010.

Operations

IT Desktop Organization

Does your staff struggle to find a document that was scanned, filed, or faxed on their computer?

Ectivi can help by creating a systematic filing system on each desktop to make it easy for your staff to find the document needed. Searching for a file is a common problem in most medical practices we work in, wasting precious time and money. This service includes 2 hours of staff training on desktop organization.

System Expertise

Fluent in the systems your practice runs on.

Revenue cycle work is only as strong as the analyst's command of the platform. Nina brings deep, hands-on proficiency in the billing and practice management systems that drive modern medical offices.

She also fills a gap most consultants miss entirely: digital organization and document cleanup for practices where aging infrastructure is quietly costing the team time and accuracy.

Medical Practice Software

Hands-on fluency in the EMR and practice management systems that run modern medical offices — AdvancedMD, Athenahealth, and Intellect — including ERA center work, posting discrepancy resolution, cross-over secondary insurance billing, fee schedule integration, and US Bank pass-through reconciliation.

QuickBooks & Bookkeeping

Practice bookkeeping, quarterly financial comparisons, payroll and payroll taxes, 401K administration, and complex expense reconciliations between physicians.

EMR / PM System Transitions

Has converted and merged multiple EMR and practice management platforms across her career — including 3 different systems at a single group practice — minimizing disruption and maintaining billing continuity.

Credentialing & HR

Insurance credentialing and contracting, staff hiring, counseling, reviews and termination, scheduling, PTO and payroll administration, and 401K management and distribution.
